Logistics Expert

ORGANIZATIONAL OVERVIEW

The National Election Board of Ethiopia (NEBE), re-established by proclamation No. 1133/2011, is the constitutionally mandated body to conduct elections, organize referendum and regulate political parties in Ethiopia. NEBE is working to boost its’ institutional strength with a special focus on enhancement of human resource capacity. Accordingly, NEBE would like to invite applicants for Logistics Expert position who meet the following requirements.

Duty station: Addis Ababa, Mekelle, Semera, Wolayta Sodo, Hossana, Gambella, Dire Dawa

Salary:                          As per the organization salary scale (Competitive)

Job Summary

The Logistics Expert provides essential administrative and operational support to the Region branch office and facilitates logistics activities led by the HQ. This role involves coordinating logistics activities, managing documentation, assisting with inventory control, and ensuring smooth communication among team members and external partners. The Logistics Expert plays a critical role in optimizing logistics processes, maintaining accurate records, and facilitating efficient coordination within the logistics department.

Duties and responsibilities

  1. Coordination and Communication:
  • Coordinate logistics activities, including transportation, warehousing, and distribution, to ensure timely and accurate delivery of goods.
  • Communicate effectively with internal teams, suppliers, and transportation partners to coordinate logistics operations.
  • Communicate effectively with the logistics team, HQ, as to the delivery of election materials to all destinations within the region and all logistics related issues.
  • Ensure that election materials are kept in safe custody in their proper and secured space so that no damage, theft and pilferage occurs.
  • Ensure that packed election materials are dispatched and distributed to all constituencies/centers and then polling stations in a secured manner.
  • Actively communicate and interact with the logistics team during retrieval of materials to the selected regional warehouses and HQ.

Documentation Management:

  • Prepare, review, and maintain shipping documents, purchase orders, invoices, and other relevant paperwork.
  • Ensure accurate record-keeping and filing of logistics-related documents for easy retrieval and compliance purposes.

Inventory Support:

  • Assist in monitoring and maintaining inventory levels to prevent stockouts and overstocking.
  • Collaborate with inventory management teams to facilitate accurate stock counts and reconciliation.

Problem-Solving:

  • Address logistics-related issues, discrepancies, and delays promptly, coordinating with internal teams and external partners to find effective solutions.

Vendor Management:

  • Support vendor management activities, including communication, performance evaluations, and coordination of deliveries.
  • Assist in negotiating contracts and agreements with logistics service providers.

Process Improvement:

  • Identify opportunities for process improvements within the logistics department.
  • Implement best practices and contribute ideas to enhance efficiency and productivity.

Training and Support:

  • Provide training and support to team members on logistics processes, and best practices.
  • Act as a resource for colleagues, answering queries and providing guidance on logistics-related matters.

Reporting:

  • Prepare regular reports on logistics activities, inventory levels, and key performance indicators.
  • Analyze data and provide insights to support decision-making within the logistics team.

 

Specification:

Education and Work Experience

  • Masters or Bachelors in Supply Chain Management; Business Management; Logistics Management and other related fields
  • 5 years for Masters or 7 years for BA

Know-How (Skills) (Technical competencies):

  • Proficiency in Microsoft Office Suite and logistics management software.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a focus on accuracy in documentation and record-keeping.
  • Problem-solving skills and the ability to work well under pressure.
  • Familiarity with logistics and supply chain processes and terminology.
  • Proficiency in local languages is preferable
  • Not a member of a political party.
